Job Title:  Communications Coordinator/Executive Assistant                              

Reports To:  Executive Director

FLSA Status:  Non-Exempt

Reporting directly to the Executive Director, the Communications Coordinator/Executive Assistant provides executive support in a one-on-one working relationship. The Communications Coordinator/Executive Assistant serves as a liaison and organizes and coordinates executive outreach, external relations efforts and oversees special projects. The Communications Coordinator/Executive Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, has an eye for creative design of content with strong written and verbal communication. The Communications Coordinator/Executive Assistant will have the ability to work independently on projects, from conception to completion with excellent administrative and organization skills, have aptitude for creative design and be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.  

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following (Other duties may be assigned):

 Act as the point of contact between the Executive Director and internal/external clients

Handle requests and queries appropriately

Manage diary and schedule meetings and appointments

Make travel arrangements

Take dictation and minutes

Source office supplies

Produce reports, presentations and briefs

Devise and maintain office filing system

Edits all, and creates acknowledgement letters from the Executive Director to donors.

Manages social media, creates posts and updates the organization’s social media accounts.


Job Title: Operations Manager

Reports To: Executive Director

FLSA Status: Non-Exempt

The Operations Manager is responsible for managing the organization by helping and creating organizational and program budgets in collaboration with the ED and other department heads to plan, direct and coordinate all organization's operations and improving performance, productivity, efficiency and profitability through the implementation of effective methods and strategies. The Operations Manager will report to the ED and serve as a member of the Management team along with the ED and other department heads to ensure organizational effectiveness by providing leadership for the organization.


 ·                 Improve the operational systems, including eKYROS, processes and policies in support of organizations mission specifically, support better management reporting, information flow and management, business process and organizational planning.

·                 Manage and increase the effectiveness and efficiency of HR services.

·                 Management of agency budget in coordination with the Executive Director as needed.

·                 Regular meetings with Executive Director around fiscal planning.

·                 Oversee and train Front office manager/Receptionist and Patient-Care/Client Advocates as needed.

·                 Oversees the implementation of Guide-Star Reporting.

·                 Oversees best practices with regards to social media and client stories.

·                 Assists Executive Director in documents preparation, and correspondence of fundraising events and other calendared events.

·                 Works directly with the Executive Director to support the Center, as it pertains to client services, clinic licensing, and other ongoing administrative efforts.

·                 Oversees all property management issues and maintains corresponding records.

·                 Improve and manage church relationships as it relates to our Baby Bottle Campaign.

·                 Prepares all thank you correspondence for donations and fundraising event attendees, sponsors, vendors and donors.
